Job Description: Institute of Genomic Medicine, Health Sciences CMM East Under general supervision of the Program Administrator, Program Assistant will provide support on basic financial accounting, billing, and event coordination. Job Responsibilities: When the event is an “in-person event”, assist with lunch order and setup at event site, with additional assistance arrange chairs and tables to desired format, maintain seminar website. Assist with A/V setup including projection screens, microphones, zoom broadcast, camera setup, and other technical assistance as requested. Assist in preparing financial reports and statements for various accounts, grants, and funds within IGM. Reconcile customer payments against billing invoice and general ledger and record UCSD’s financial system transaction numbers into our internal payment ledger. Provide support to a weekly seminar on Thursdays from 12-1pm including: create flyers and send emails to promote each event, schedule and assist with zoom meetings, communicate with seminar admin team on speaker schedule and status. Assist with excel reporting, including taking raw excel downloads and manipulating the columns and rows into usable data using filters and pivot tables. Job Requirements: Anticipate and solve problems that may arise. Strong organizational skills Establish and adhere to rapidly changing deadlines and priorities. Demonstrated ability to successfully follow multiple tasks through to completion Strong computer skills with working knowledge of PC hardware and various business software packages (Excel spreadsheet, Billing Software).
