Job Description:

The Agency Administrator is responsible for managing the end-to-end operational aspect of the deal closing and funding process for CMB and GBM syndicated transactions, where HSBC Bank Canada acts as Administrative Agent. This role requires a strong understanding of credit agreements and an ability to accurately assess and interpret complex legal documentation. The Agency Administrator will complete detailed reviews of loan documentation to ensure adherence to HSBC policies and procedures as well as coordinate with multiple internal and external stakeholders (including customers, legal counsel, and other financial institutions) to manage the deal closing and funding process. The Agency Administrator will require a strong working knowledge of Loan IQ to set up deals in accordance with the agreed terms and conditions.

Job Responsibilities:

  • Assume responsibility for the delivery of efficient, accurate and timely processing of client requests and transactions, ensuring service standards are met
  • Performing GL reconciliations, verification and performing/adhering to all control requirements.
  • Ensure controls and internal/external standards are complied with; ensure legal/risk/finance/audit, etc. guidance is adhered to as applicable and operational issues, near misses, losses, etc are appropriately escalated to senior management
  • Communication with customers and participating financial institutions to promptly and appropriately address and resolve enquiries, providing exceptional customer service
  • Review credit agreements for deal structure and administrative terms and conditions that meet internal standards
  • Accurately set up deal terms and conditions in HSBC systems (Loan IQ) to enable the ongoing administration of loans
  • Deliver fair outcomes for our customers and ensure own conduct maintains the orderly and transparent operation of financial markets.
  • Ensure internal and external customer feedback is logged and addressed.

Job Requirements:

  • Customer service experience with commercial loan and/or treasury clients, preferably in commercial middle market and commercial real estate business segments
  • 5 to 7 years of commercial banking syndicated loan administration experience with familiarity of HUB/client connect input/maintenance/reporting capabilities
  • Proficient with Loan IQ and Microsoft Office
  • Familiarity with HSBC Bank Canada internal systems and processes
  • Strong communication and problem solving skills
  • Attention to detail and an ability to review complex legal agreements and assess provisions which are subject to interpretation; familiarity with credit agreements and provisions is required
  • Strong organizational and time management skills to effectively schedule and prioritize activities and requests to ensure service deadlines are met
