Job Description:
The ideal individual must be able to handle confidential matters with discretion, exercise good judgment in a variety of situations, possess strong written and verbal communication, administrative and organizational skills, and proven success maintaining a realistic balance among multiple, shifting priorities. Additionally, they will help foster teamwork and cohesiveness both among the team and with other executives. They must have had success working independently while liaising with high profile, internal and external C-suite executives and the ability to thrive in a dynamic, demanding environment, while maintaining a positive, customer focused attitude. With proven performance, the successful incumbent will have the opportunity to work on projects, supporting the departments.
Job Responsibilities:
- Research, extract and compile data for the team on routine and special projects.
- Arrange video-based meetings, tele-conferences and other technology needs in advance of the meeting and anticipating the needs of each meeting.
- Acts as “gatekeeper” role, creating win-win situations for direct access to the executives & office.
- Composing and preparing correspondence (presentations, memos, emails) on request.
- Coordinate global/domestic travel itineraries and manage timely processing of expenses
- Process invoices, organize and maintain filing system and orders office supplies.
- Coordinate team calendar, meeting locations, meals and dinners for department off-sites and meetings.
- Manage multiple competing priorities daily and execute within guidelines set, take initiative to assist as issues arise and find/proposed solutions to problems as they arise.
- Must communicate in professional manner with members of the department, and remainder of organization.
- Maintain frequently changing calendars and coordinate all aspects of confidential executive level appointments, meetings, receptions, town halls, video conferences and live meetings.
- Substantial telephone and communications coverage, screen calls with diplomacy, determine need for immediate attention or relay messages.
- Respond to routine requests for information from external and internal sources.
- Provide administrative support to both Legal executives and department
Job Requirements:
- Minimum 5 years of experience in an Executive Assistant or equivalent role, supporting C-level staff.
- Experience multi-tasking with the ability to handle changing priorities in a fast-paced entrepreneurial environment
- Experience with Word, Excel, PowerPoint
- Conversant in Hispanic Media trends – TV, pop-culture, music, entertainment, a plus
- Proficient in Microsoft Office suite products, including Outlook, on Mac and PC.
- Track record of meeting high standards of excellence and achievement – Has demonstrated skill in problem-solving; enjoys a challenge, achieves satisfaction from working things out, getting things done; demonstrates curiosity.
- Collaborative spirit: enjoys being part of a team and derives satisfaction from helping team run successfully.
- Resourceful, proactive, assertive, detail-oriented and energetic
- Bachelor’s degree or equivalent experience
- High level of integrity and the ability to maintain confidentiality at all times
- Excellent client service and interpersonal skills – Comfortable interacting with staff at all levels and representing the department clearly and diplomatically, when needed.
- Fluent in Spanish (read and write)
- Excellent time-management, organizational and follow up skills
- Poised and able to manage work under stress and with minimal supervision
- Strong written and oral communication skills, well-spoken and articulate
